Tasks: how to use boards, lists and cards
Tracking work with boards, lists and cards on the Tasks screen, completing and moving cards, the phone layout and task notifications.
What is this screen for?
Görevler (Tasks) is where your team tracks its work with boards, lists and cards. It sits under Operasyon (Operations) in the menu. Each piece of work is a card; a card sits in a list, and lists are laid out side by side on a board.
When you open Görevler from the menu, your own board opens straight away: the board where you are selected in the Kime bağlı (Assigned to) field, or the board whose name matches your name. If there is no such board, the first board opens.
The view tabs at the top are Pano (Board), Liste (List, a table), Takvim (Calendar, by due date), Bana atananlar (Assigned to me) and Arşiv (Archive).
Boards and lists
- Boards appear at the very top as coloured bubbles. Each bubble shows the number of open cards on the board; a small dot appears if there is activity you have not read.
- For a new board press + Pano (+ Board), fill in Pano adı (Board name) and Kime bağlı (Assigned to), then press Panoyu aç (Open board). The selected person is automatically assigned to every card opened on this board and receives a notification and an e-mail for new tasks and activity.
- In the Pano ⋯ (Board ⋯) window you can change the board's name, the person it is assigned to and its colour, edit Etiketler (Labels), or choose Panoyu arşivle (Archive board) or Panoyu sil (Delete board). To delete, you are asked to type the board name.
- A new board opens with the lists Yapılacak (To do), Yapılıyor (Doing) and Tamamlandı (Done). Add a list with + Liste ekle (+ Add list); click a list name to rename it.
- A list's ⋯ menu has: WIP sınırı (0 = yok) (WIP limit, 0 = none), the Tamamlandı listesi (Done list) flag, ← Sola / Sağa → (Left / Right), Sırala (Sort: Termine göre by due date, Önceliğe göre by priority, En yeni newest, En eski oldest, Ada göre by name), Tüm kartları taşı (Move all cards), Tamamlananları arşivle (Archive completed), Tüm kartları arşivle (Archive all cards) and Listeyi arşivle (Archive list). If a WIP limit is set, the list header shows the card count together with the limit.
Filters: Ara: başlık ya da #no (Search: title or #no), person (Herkes everyone, Bana atananlar assigned to me, or a person), label and due date (Gecikmiş overdue, Bugün today, 7 gün içinde within 7 days, Terminsiz no due date). Temizle (Clear) removes all filters.
Cards
Creating a card: Press + Kart ekle (+ Add card) at the bottom of a list, type the title and press Ekle (Add). If you type several lines, each line becomes a separate card. If a card is marked as a template, Şablondan… (From template…) copies its description, checklists, labels and members into the new card.
The Görev yap (Create task) button on order, return and product cards also opens a card: fill in Görev (Task), Kime (To), Son tarih (Due date) and Not (Note), then press Görevi aç (Open task). The card lands on the chosen person's board with a link back to the record.
Card window: Opens when you click a card. Fields:
- Atananlar (Assignees), Etiketler (Labels), Başlangıç (Start), Termin (Due), Öncelik (Priority: Düşük low, Orta medium, Yüksek high, Acil urgent) and the Tamamlandı (Done) box.
- Açıklama (Description): written with Düzenle (Edit); you can mention a person with @ and link to another card with a number such as #12.
- Kontrol listesi (Checklist): add items with + Öğe ekle (+ Add item). An item can have a person and a due date; Karta dönüştür (Convert to card) turns the item into a separate card.
- Ekler (Attachments): drag, paste or choose a file or image (25 MB at most). Use Kapak yap (Make cover) to make an image the card's cover.
- Bağlantı (Link), Kapak rengi (Cover colour) and Tekrarla (Repeat: Her gün daily, Her hafta weekly, Her ay monthly).
- Yorumlar (Comments) and Etkinlik (Activity: who did what on the card).
Completing, moving and archiving cards
- Tamamla (Complete): the ✓ button on the card, or the Tamamlandı (Done) box in the card window. A completed card moves to the board's Tamamlandı (Done) list and gets the Tamamlandı label. If you choose Yeniden aç (Reopen), the card returns to the first open list.
- Moving a card into a list flagged as a Tamamlandı listesi (Done list) also completes it.
- Repeating task: when completed, the same card reopens for the next due date and the screen shows "Tekrarlayan görev: yeni kart açıldı" (Repeating task: new card opened).
- Move: on a computer, drag and drop the card, or press ⇄ Taşı (Move) in the card window and choose Pano (Board), Liste (List) and Konum (Position). Labels that do not exist on the target board are dropped when a card moves to another board.
- ⧉ Kopyala (Copy): you choose whether checklists, labels and members are copied.
- 🗄 Arşivle (Archive): the card leaves the board; the bar that appears shows Geri al (Undo) for a short time. Archived cards return to the board with Geri al on the Arşiv (Archive) tab. Permanent deletion is only possible for an archived card and cannot be undone.
On the phone
- The board shows one list at a time. Swipe left or right to move between lists; the list tabs at the top, with their card counts, stay in place while you scroll the page.
- One tap on the round button at the left of a card completes it; tapping again reopens it.
- A card's ⋯ button opens the action menu: Kartı aç (Open card), Tamamlandı olarak işaretle (Mark as done), Başka listeye taşı (Move to another list), Kopyala (Copy), Arşivle (Archive).
- Filters open with the filter button at the top; the number of active filters is shown on the button. Board settings are under the ⋯ button at the top.
Notifications
- Task notifications appear only in the Tasks area; they do not go into the general Bildirimler (Notifications) list. Phone notifications continue; tapping one opens the card.
- When someone else acts on a card you are assigned to, watch, or that is on a board assigned to you, the card shows a bell with the number of unread activities. The bell clears when you open the card. Use 👁 İzle (Watch) to follow a card you are not assigned to.
- The Görevler badge in the menu shows the number of cards assigned to you that are due today or overdue; it is red if any are overdue.
- You are notified when a task or checklist item is assigned to you, when you are mentioned in a comment, when a comment is written on your card, when a card is opened on your board, and when a card you opened is completed.
- You receive a morning reminder for tasks due today or overdue; weekend morning reminders are not sent.
Cards opened automatically by the system show Bulutegra as the creator; cards opened by the assistant show Asistan (Assistant). You can ask the assistant to open a task from the chat; see Assistant: what it does and how to use it for details.
Roles
Görevler is visible to every role except Reporting; it does not appear in the menu for the Reporting role. Every user who sees Tasks can create and edit boards, lists and cards.
If something is wrong
- A card is missing: completed cards are hidden in the Liste (List) and Takvim (Calendar) views; tick Tamamlananlar (Completed). An archived card is on the Arşiv (Archive) tab.
- "Filtreye uyan kart yok." (No card matches the filter.): remove the filters with Temizle (Clear).
- "Bu ay termini olan kart yok." (No card is due this month.): change the month in the calendar or give the card a due date.
- "Tekrarlayan görev için önce termin girin." (Enter a due date first for a repeating task.): fill in the Termin (Due) field first.
- "… 25 MB'tan büyük" (larger than 25 MB): make the file smaller and add it again.
- "Pano adı eşleşmedi, silinmedi." (Board name did not match, not deleted.): type the board name exactly in the delete confirmation.
- "Adres https://, #/ ya da / ile başlamalı." (The address must start with https://, #/ or /.): enter the link with its full address.
- A task notification is not on the Notifications page: this is expected; check the bells on the cards and the badge in the menu.
