Marketplace KPIs and Performance Reports That Matter

Which KPIs multichannel sellers should track: contribution per channel, return rate, days of cover, lost payouts, and how to read them from one panel instead of five.

The KPIs a multichannel seller needs fall into five groups: sales and order flow, contribution per channel, stock health, returns and customer service, and settlements and reconciliation. Revenue alone misleads; the best-selling product on Amazon may earn the least once commission, shipping and returns are deducted. The report that matters puts every channel side by side under one definition and includes cost. This guide explains which KPIs to track, why, and how to read them from one panel instead of five.

Why marketplace dashboards are not enough

Every marketplace has a seller dashboard and each describes its own channel well. The trouble starts when you sell on five: five dashboards, five definitions. One calls it "return rate", another "return rate including cancellations"; one reports revenue with tax, another without.

The second gap is cost. A marketplace dashboard does not know what a product costs you; it shows commission but never subtracts shipping share, tax and return losses to tell you what is left. That calculation needs the ERP cost and the marketplace sale on the same row.

The third gap is time. Hopping between dashboards and merging them in a spreadsheet takes hours every week, and by the time the report is ready it is stale. That is why multichannel reporting belongs in the integration layer: orders, cost and settlements live in one place, so the report is always current. What is marketplace integration describes where that layer sits.

Sales and order-flow KPIs

The first group is checked daily:

For these the order screen's channel tabs, date range and CSV export are enough; no separate reporting tool is needed.

Contribution per channel: real profitability

The most honest KPI is contribution per channel. The calculation: from the sale price subtract tax, marketplace commission, shipping share and return losses, then subtract product cost; what remains is contribution. It must be visible per channel and per product separately.

The profitability page does this calculation per channel. Commission models differ by channel (category-based, flat, tiered); return risk differs by product group (high in apparel, low in electronics). The page accounts for these variables and states that a product leaves a certain amount per order on eBay and a different amount on Walmart.

The report has two uses. First, channel decisions: on a channel where contribution stays low, narrow the product range or raise prices. Second, event decisions: the campaign calculator shows contribution net of the event discount, which is where you pick the products to enter. Since commission rates change, keep the report's commission definitions aligned with each marketplace's current terms. For how pricing interacts with floor prices, see price sync, repricing and the Buy Box.

Stock health KPIs

Stock reports measure not sales but the continuity of sales:

How these are calculated and how thresholds are set is covered in critical stock and days of cover.

Returns, customer and settlement KPIs

Return rate is tracked per channel and per product. In apparel, size-related returns dominate; because the reason is selected in the customer return portal, the "wrong size" share is visible per product. A high share means the size chart or measurement data is missing; a tool like Size Finder is used to bring it down.

On the customer side there are two more metrics: question response time and negative review share. When marketplace questions, WhatsApp and email land in one inbox, the count of unanswered questions and average response time become measurable.

On the settlement side, three metrics: lost payouts (due but not paid), returns whose commission was not refunded, and orders that net negative. All three are checked every payout cycle, and each finding is tracked with a status, ticket and note. The total value of findings shows what reconciliation time is worth. Weekly KPI checklist

Run this list at the start of every week:

  1. Orders and revenue per channel compared with last week?
  2. Contribution per channel read from the profitability page; any channel falling?
  3. SKUs below critical stock and the days-of-cover list shared with purchasing?
  4. Out-of-stock cancellations at zero?
  5. Return rate per product; any product where "wrong size" stands out?
  6. Unanswered questions and average response time acceptable?
  7. Settlement findings (lost payouts, commission refunds, negative orders) with open tickets updated?
  8. System health screen: did any channel go silent last week?

How it works with Bulutegra

In Bulutegra these reports are not a separate tool but part of the Integration Panel. The order screen delivers flow metrics with channel tabs, date range, customer/SKU search and CSV export. The profitability page calculates contribution per channel with tax, return risk and the commission model; the campaign calculator runs the same calculation net of an event discount. The low-stock alert and days-of-cover report cover stock health, the return portal captures return reasons, and settlement tracking lists reconciliation findings. Channel monitoring runs continuously, the system health screen lists past outages, and silent-channel notifications reach your phone. These metrics were the weekly meeting agenda in the founding company's own retail operation, so they have been tested in the field. The full panel is described on Why Bulutegra?.

Frequently asked questions

What is the single most important marketplace KPI?

There is no single one, but revenue is the most misleading and contribution per channel is the most honest. What remains after commission, tax, shipping share and return losses are subtracted from revenue shows which channel actually earns money.

Aren't the marketplace's own reports enough?

Each marketplace dashboard shows its own channel only; it does not compare channels and it does not know your cost from the ERP. For a multichannel seller the report that matters puts every channel side by side under one definition and includes cost.

How often should I look at these reports?

Stock and order-flow reports daily, profitability and return reports weekly, settlement reconciliation with every payout cycle. Alerts such as a silent channel or critical stock should not wait for a report; they arrive as instant notifications.
