Marketplace Settlement and Commission Reconciliation
How to reconcile marketplace payouts against your sales order by order, catch missing settlements, unrefunded commissions and negative orders each month.
Settlement and commission reconciliation means comparing what a marketplace paid you with your own sales records, order by order, and explaining every difference. Even in businesses where orders flow smoothly, the payout side is rarely checked; "money is coming in" feels good enough. Yet the commission on a returned item may never have come back, one order's payout may be missing entirely, or fees may have exceeded the sale price. This article explains why reconciliation matters, the three most common discrepancies, and how to set up the control flow.
How a settlement is formed
When you sell on a marketplace, the customer's payment goes to the marketplace first. It deducts commission, shipping, any promotion participation fee and other charges; the remainder is transferred to your account on a payout cycle. That transfer is the settlement. Cycle length, fee items and rates differ from Amazon to eBay to Trendyol; we give no figures here, so check each marketplace's current seller agreement.
The problem: settlement reports are organized by payout period, not order date. An item sold in August appears in the September payout; the commission adjustment for an August return may arrive in October. Putting monthly sales next to monthly payouts and finding a mismatch is normal. Whether the mismatch is explainable only becomes clear when records are matched per order.
The three most common discrepancies
Most differences seen in practice fall into three groups. Bulutegra's settlement tracking flags each one separately.
Missing settlement
The order was delivered, there is no return, yet no payout record exists. The cause may be a technical glitch, a period shift or a record held on the marketplace side. With orders in the hundreds, searching one by one is not realistic; the system produces the "delivered but no settlement" list automatically.
Return without commission refund
The customer returned the item and got their money back, but the commission charged on the sale never came back to you. Marketplaces handle return commissions differently: sometimes the refund is automatic, sometimes it must be requested. Each case looks small; added up over a month it becomes a visible amount.
Negative orders
When fees exceed the sale amount, an order leaves a negative net balance. A low-priced item where shipping plus commission passes the sale price is the typical case. This is a pricing problem more than a reconciliation problem, but the settlement report is where it is first noticed. The fix lives in price sync and floor prices.
Reconciliation is not "is the marketplace cheating me?" It is "can I explain, line by line, the gap between what I expected and what arrived?"
Setting up the reconciliation flow
Manual reconciliation goes like this: download the settlement report, download the sales report, match the two by order number, flag the unmatched and the mismatched. Doable on one channel at low volume. Across five channels, each with a different report format, repeating it monthly is hard.
On an integration platform the flow is automated in these steps:
- Order record: every order is stored the moment it arrives, with expected amount, commission model and shipping details.
- Settlement pull: the marketplace's settlement records are fetched via API and each is matched to an order number.
- Comparison: the difference between expected and paid is computed. If it is an explainable item (shipping, promotion fee), it is closed; if not, it is flagged.
- Status and ticket: the flagged record gets a status (under review, raised with marketplace, resolved), the marketplace support ticket number and a note.
- Closure: when the correction arrives the record is closed; if not, it stays in follow-up.
In Bulutegra this runs on the settlement and reconciliation page. Missing settlements, returns without commission refund and negative orders are separate lists; each record carries status, ticket number and notes. A user in the Accounting role sees only these pages, with no access to order preparation or pricing screens. See security, 2FA and roles for the role setup.
The link to profitability
Reconciliation is the precondition for measuring channel profitability correctly. By revenue, the best-selling channel looks like the best channel; after commission, shipping, return risk and tax, the ranking can change.
Bulutegra's profitability page calculates contribution per channel with VAT, return risk and the commission model. Reconciliation data feeds real deductions into that calculation: paid commission instead of estimated, actual returns instead of an assumed rate. "Does this category make money on Amazon?" is answered with real data. For the monthly view, use the metrics in marketplace performance reports and KPIs.
On the ERP side, the order has already been written to Nebim V3, Logo, Mikro or SAP with customer, line items, carrier and payment details. When settlement records are matched to those orders, accounting can track marketplace receivables per order. For invoicing, see marketplace e-invoice integration.
Monthly checklist
Running this list at each period close prevents backlog:
- Any delivered orders with no settlement record?
- Have commission adjustments arrived for returned orders?
- Any negative orders, and which products do they cluster in?
- Which open tickets have waited longer than one period?
- Do promotion participation fees match the expected amount?
- Do shipping deductions match the terms in your agreement?
- Comparing net contribution per channel with last period, is any channel falling?
The list takes about an hour a month. What takes days by hand shrinks to a checklist once order-level matching is in place.
How it works with Bulutegra
In Bulutegra, settlement and reconciliation tracking for more than 24 marketplaces sits on one page: settlement records from Amazon, eBay, Etsy, Walmart, Trendyol, Hepsiburada and the rest are matched by order number. Missing settlements, returns without commission refund and negative orders are flagged in separate lists, each with status, ticket and notes. The profitability page shows contribution per channel with real deductions. The Accounting role sees only these screens; two-factor authentication protects logins. Because the software was used in the founding company's own retail operation first, these lists grew out of real needs on the floor. See Why Bulutegra? for details.

Frequently asked questions
What is a marketplace settlement?
The amount a marketplace pays you after deducting commission, shipping and other fees from your sales. Payout cycles and fee items differ by marketplace; check the current seller agreement for the terms that apply to you.
Why do I need to reconcile marketplace payouts?
As order volume grows, the gap between what the marketplace paid and what you sold becomes impossible to see by hand. A returned item whose commission never came back, an order with no payout at all, or fees exceeding the sale price only surface when you compare order by order.
Why does my payout report not match my sales report?
The most common reasons are period offsets (order in one month, payout in the next), late processing of returns and cancellations, promotion participation fees and shipping deductions. Once records are matched by order number, the difference can be explained line by line.
