Marketplace Q&A and Customer Message Management

How to manage marketplace customer questions and messages from one inbox: response-time targets, templates, WhatsApp and email, plus a daily checklist.

The most efficient way to manage marketplace customer questions and messages is to collect every channel into one inbox, prioritize, and reply quickly but personally using templates. This article walks a seller active on several marketplaces through building that flow step by step, and ends with a daily checklist.

Why questions matter so much

A question on a marketplace does three jobs. First, it closes the sale: a buyer who gets a fast answer to "does this run small in size 9?" heads to the cart. Second, it is public: the Q&A section on a product page is read by hundreds of later shoppers. Third, it affects your rating: marketplaces include response time and response rate in seller performance; check the current seller agreement for the thresholds.

Onboarding in four steps

There is an invisible fourth job: questions tell you where your product content is thin. If the same product gets "what is the fabric?" three times, the problem is not the answer but the description.

The scattered inbox problem

A seller on Amazon, eBay, Etsy, and Trendyol sees four question screens in four seller panels. Add the web store's email and WhatsApp, and there are six inboxes. The outcome is familiar: one inbox gets forgotten, questions pile up during sale events, and two people answer the same question differently.

The fix is a unified inbox. The integration pulls marketplace questions through each marketplace's API and places them in the same list as email and WhatsApp Business API messages. Replies are written on that screen and delivered back to the originating channel. Bulutegra's CRM module merges these three sources into one inbox; the WhatsApp side is covered separately in WhatsApp Business API and CRM.

Building the Q&A flow: 8 steps

  1. Connect the channels. Bring every marketplace that generates questions, the company email, and the WhatsApp Business account into one inbox.
  2. Name an owner. Write down who watches the inbox and who covers for them; "everyone checks it" means nobody does.
  3. Set a response-time target. Choose an internal target shorter than the marketplace's limit; for example, same day within working hours.
  4. Classify questions. Product details, stock and size, shipping and delivery, returns and exchanges, invoices. Prepare a standard answer for each class.
  5. Write templates, then personalize. A template is a starting point; the product name, size, and the specific detail the buyer asked about are added by hand.
  6. Link to the product. When a question arrives, the product's stock, sizes, and content should appear on the same screen so the reply is written without switching tabs.
  7. Link order questions to the order. Answering "where is my package?" should take one click from order code to carrier status.
  8. Review weekly. List the five most frequent questions and decide which product content to fix.

Good answers by question type

Each question type draws on a different piece of information. Pulling the answer from the right place is how you stay fast and accurate.

Rule: never guess. "Let me check and get back to you within the hour" beats a wrong answer every time.

What not to do

Most marketplaces prohibit steering buyers off-platform, sharing phone numbers or links, and disparaging other sellers in the Q&A area. Check the current seller agreement. Other common mistakes:

From questions to better content

The Q&A inbox is a feedback source. The most frequent questions from the weekly review tell you which information is missing on the product page. Fabric questions mean the description needs fabric details; measurement questions mean a size chart image. Content Studio helps produce that image and multilingual descriptions. For missing title, color, and category findings use the quality tab; see product content and quality score.

On cross-border channels questions arrive in English or the local language. If multilingual content is in place, most of them are answered before they are asked.

How this works with Bulutegra

Bulutegra's CRM module collects marketplace questions, email, and WhatsApp Business API messages in one inbox; each question appears alongside its product and order, and the reply goes back to the channel it came from on the same screen. User roles ensure only the responsible people see the inbox. Content Studio and the quality tab help close the content gaps the questions reveal. You can browse the modules in the solutions section and request a demo to see it running with your own channels.

Frequently asked questions

How quickly should I answer marketplace customer questions?

Every marketplace sets its own response-time target, and it feeds into your seller rating. The exact hours are in the marketplace's current seller agreement. A practical rule: answer questions that arrive during working hours the same day, and questions that arrive near closing first thing the next morning.

Can I manage questions from several marketplaces on one screen?

Yes. Integration platforms collect marketplace questions, email, and WhatsApp messages in one inbox. You reply from that screen and the answer is delivered back to the marketplace it came from, so there is no need to log in to each seller panel.

Do unanswered questions hurt sales?

Yes. An unanswered question stays visible on the product page and lowers your seller rating. Most buyers move to another seller rather than wait. Since most questions come from gaps in product content, fixing the content matters as much as answering.
